China Village Tour will be very pleased to receive your email or fax for the further pursuit of tour information. Once you intend to book the services we proposed for you at the agreed price, please send us your acceptance in a formal written form. You are supposed to fill out the relevant form by choosing your favored way of paying deposit and fax us with your signature.
Upon receiving your reservation email or fax, China Village Tour is committed to fulfilling the reservation based on the tour program our clients booked.
After we have confirmed the whole tour, the clients are required to balance the payment ever since in your preferred way. Final payment is due 30 days prior to the departure date. Failure to comply with the deposit and balance payment requirements may result in automatic cancellation of your reservations.
The reference exchange rate: 1 USD: 6.7 RMB (updated in Aug 2017)
Cancellation requests can be made through telephone call first, but it must be followed up in writing, a fax or an email. Once our clients decide to cancel the tours, please inform us as soon as possible since it will reduce the losses on both sides. The date receiving cancellation requests from our clients will determine what penalties, if any, will be assessed.
The cancellation fee will be calculated as follows:
If more than 30 days: 50 USD per person plus the actual cancellation charge (air tickets, hotels, cruise, etc)
If 29 – 15 days: 150 USD per person plus the actual cancellation charge (air tickets, hotels, cruise, etc)
If 14 – 7 days: 50% of the tour payment
If 7 – 3 days: 75% of the tour payment
If 2 – 0 days and no show clients: 100% of the tour payment
China Village Tour reserves the right to modify the itinerary of the tour if air schedule or land transportation changes, or there are any events beyond our control, which make such alterations necessary. If the arranged tour has to be changed only due to the client’s own wishes, he or she is supposed to pay for the corresponding additional cost.
It is the responsibility of tourists to see that proper documentation is obtained in advance of the trip. Each tourist must be in possession of a passport valid for more than six months after the return date of arrival. Also, all tourists must be in possession of visas for China. (We can send you a free invitation to assist you to get your visa. The invitation will only be sent after we receive the reservation deposit.)
Tourists must check visa requirements directly with the consulates of China at home and obtain necessary information prior to their departure. China Village Tour will not be responsible for alternate or additional land or air arrangements resulting from improper documentation.
No refund will be made for any portion of the tour unused because of a cancellation or change made by tourists themselves while the tour is in progress.
Currently China does not require the tourists from major western countries immunizations. However, it is subject to change at any time. Please check with your tour agent or the consulates of China at home to ascertain if China requires proof of any inoculation. It is the tourists’ sole responsibility for compliance with vaccination and other health requirements of Chinese government. For those planning to go to Tibet, please consult a physician before making the trip. Visitors with respiratory or cardiac problems should avoid such high altitudes.
China Village Tour provides limited insurance for all customers who have booked tour services, which is called Travel Agency Liability Insurance regulated by National Tourism Administration. The insurance includes the coverage of liability for compensation, borne by a travel agency in organizing tourism activities; and for personal injury and property loss of tourists during a guided tour.
China Village Tour is dedicated to offering our clients a safe and smooth journey in China with a lifetime experience. While for your benefit and convenience, we highly recommend you to purchase other travel insurance at home before departure since the policies of most travel insurance companies cover a wide range of inconveniences from lost & damage of baggage, to flight delays & cancellations, etc.
Air transportation for all the programs is based on economy class travel. The international airfares usually are not included in the tour cost unless otherwise specified. China Village Tour endeavors to follow the itineraries as we proposed for you; however, if the flights are not available at the scheduled time, we reserve the right to modify the air and land arrangements for smooth operation of the tour.
Clients should provide the correct personal information, such as the full names, passport number, nationality and birth date, for reservations. Once the flight tickets are issued based on the incorrect information provided by the clients, they will be responsible for the extra charge of the cancellation of tickets and issuing new tickets.
In China, the fuel tax and other applicable airport tax have been included in the air tickets. Therefore, if your domestic flights are included in the tour package, then you don’t need to pay any extra cost after your arrival at the airport. But China Village Tour is not liable for the excess baggage charge. Please note that in China the flights to Hong Kong and Macao are still regarded as international flights, therefore, passengers are required to go through the customs.
Note: Recently because of the quick price rise of oil, the airlines kept raising the fuel tax in the past year. So the fuel tax fee is subject to change with prior notice, which should be covered by the clients’ own expenses.
When the hotel listed in our service confirmation is not available, the hotel at the same or better level will be substituted. China Village Tour will inform you immediately before the arrival in China.
China Village Tour will try to reserve a double-bed room if clients requested, and we can’t 100% guarantee its availability as some hotels in China have very limited double-bed rooms, and they follow the rule of “First come, first served”.
We offer assistance in arranging room shares, but cannot guarantee its availability. Singles who wish to share with another should request this at time of booking and will be booked as a single but willing to share if possible. If on your arrival there is another person willing to share, then the single supplement will be refunded.
For domestic flight passengers in China, the free baggage allowance is 20kg per person for Economy Class, 20kg for Business Class, and 40kg for First Class. China Village Tour is not liable for the excess baggage charge.
Regulations under CAAC (Civil Aviation Administration of China) specify that all check-in suitcases must have a locking device attached. Failure to follow this regulation may result in refusal by airport staff to check in your baggage. In case of any damages and losses of your personal belonging, baggage insurance at home is highly recommended.
For international flights, please kindly check with the airlines for more information regarding the baggage issues.
Tour cost does not include the following items: service charges for obtaining passports and/or visas, international airfare, portage, custom fee, insurance at home, extra charge for overweight baggage, tours and excursions that are not specifically included in itineraries or shown as optional, tips at local restaurants, hotels, guides and drivers, and all other items and expenses of a personal nature such as laundry, dry cleaning, beverages, personal accident and medical expenses, incidental expenses, taxis where not part of a regular transfer, telephone and telecommunication charges.
If our clients have any complaints of China Village Tour services, please inform your local guide or our specified local representative or the suppliers immediately of the situation so that we may promptly attend to the matter. Failure to promptly notify us of your complaint may reduce or eliminate any compensation that may be payable. In cases where a satisfactory remedy is not achieved, you must submit a written complaint to China Village Tour within 15 days from the end of your tour. Complaints received by China Village Tour will be acted upon promptly and fairly within the terms of these conditions. China Village Tour will not be liable for any claims made later than 15 days after the date of tour completion.
The responsibility of China Village Tour is limited. Services provided in connection with our itineraries are rendered by suppliers acting as independent contractors and not as agents or employees of China Village Tour.
China Village Tour shall not be held responsible for any wrongful or negligent acts or omissions by any supplier or other party not directly owned or controlled by China Village Tour, or by the failure of any equipments operated by any such supplier or other party they represent, and in consequence accept no responsibility for accidents, damages, baggage losses, and/or delays due to weather, acts of God, act of government or authorities, wars, strikes, criminal acts committed by third parties, theft, pilferage or to faults or defaults of any company used for carrying out these tours.
Although China Village Tour anticipates no changes in the itineraries or accommodations, . as shown herein, the right is reserved to make any changes with or without notice due to unforeseen circumstances that might become necessary in the best interest of the tour. In such cases any additional expenses must be borne by tourists.
China Village Tour reserves the right to accept any person as a member of any group at any time or to require any person to withdraw from a tour if his/her acts of behavior are considered offensive or incompatible with the comfort of other members.
China Village Tour shall be exempt from the liability of faulty, inferior or non-delivery of any items purchased by tour passengers during their trip.
Upon receipt of our clients’ deposit, it indicates our clients have understood and accepted the above-mentioned terms and conditions of China Village Tour’s services.
